Privacy notice
This notice explains what personal data Know Your Let collects, why, and your rights under the UK GDPR and the Data Protection Act 2018.
Who is responsible
The controller is AIDO MIND Limited, company number 15422883, 5th Floor, 167–169 Great Portland Street, London W1W 5PF. We are registered with the Information Commissioner’s Office under number ZC226000. Contact: fang@aidomind.com.
The postcode check
When you enter a postcode, your browser downloads public data files from this site and does the lookup on your device. We do not receive or store the postcode you type. As with any website, our hosting provider handles the technical request (such as your IP address) to deliver the files.
Analytics
We use Cloudflare Web Analytics to count page views. It does not use cookies or local storage and does not build a profile of you. We do not use advertising or tracking cookies.
Enquiry and reminder forms

Please don’t send us criminal-record information, identity documents or bank details through the form. We do not need them: licence declarations and fit-and-proper answers are completed by you directly with the council.
When you submit the form, the details are sent through our website server to a private Telegram chat monitored by the operator, so we can reply quickly. We reply by email, phone or WhatsApp, whichever you gave us.
Who processes data for us
- Cloudflare: website hosting, security and cookie-free analytics.
- Telegram: delivery of form submissions to the operator. Messages are kept in the chat only as long as needed and then deleted in line with the retention period below.
- WhatsApp (Meta): only if you give us a WhatsApp number or message us there.
- Our email provider: sending replies and any reminders you ask for.
Some of these providers process data outside the UK, including in the EEA and the US. Where they do, we rely on the provider's own transfer terms (for example UK adequacy regulations or the UK International Data Transfer Addendum) where available; contact us for details. If you would rather we did not use Telegram or WhatsApp, email us instead of using the form and we will reply by email only. We do not sell or rent personal data, and we do not share it with referral partners unless you ask us to introduce you.
How long we keep it
We keep enquiry and client records for 24 months from our last contact with you, then delete them, unless we have to keep something longer by law (for example accounting records). You can ask us to delete your data sooner.
Your rights
You have the right to access your data, to have it corrected or deleted, to restrict or object to how we use it, to data portability, and to withdraw consent at any time. Email fang@aidomind.com; we reply within one month.
If you are unhappy with how we handle your data, please tell us first. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint.
